FACILITY:  Boston University’s Fitness and Recreation Center includes a 10-lane by 16-lane competition pool with the ability to change from meters to yards using a movable bulkhead.  The depth slopes from 7 feet to 13.5 feet.  The course will be set in short course (25) yards, thus allowing 10 lanes with non-turbulent lane lines for competition and an additional five to six lanes for continuous warm up in the diving end of the pool.  The facility is equipped with a Daktronics Timing System, touch pads and a ten lane electronic scoreboard.  Spectator seating is available for approximately 400 spectators.  Directions to the Aquatics Center and parking instructions may be found later in this notice.

 

MEET FORMAT:  This is an Age Group meet swum in Short Course Yards with the Friday night session offering timed-finals of the 500 Free and 400 IM for selected age groups and swimmers with verifiable entry times conforming to the time standards; and Saturday and Sunday offering trials and finals events for 11&Over swimmers and timed-final events for 10&Under swimmers.  Combined ten lane heats will be swum in timed-finals and prelim sessions.  For the trials/finals events, the top 20 swimmers in each age group will advance to swim in two 10-lane final heats (i.e., trial sessions will be swum as 11 & over events, but the final heats to be swum for the respective age groups).  The standard USA Swimming approved procedures for scratching finals events will be applied (e.g., once trial results are announce swimmers will have 30 minutes to declare their intention to scratch)  Awards will be given in 9-10, 11-12, 13-14, and 15 & Over Age Groups.

 

Morning and afternoon sessions will be seeded after the positive check-in deadline before the start of the competition.  Coaches and swimmers must check-in with the Clerk of the Course no later than forty-five minutes before the session is scheduled to start (i.e., by 5:15 PM Friday; by 8:15 AM each morning; and 1:15 PM each afternoon).  There will be no bullpen.  Heat and lane assignments will be posted and handed out to officials and coaches prior to the start of competition.  Swimmers are to report directly to their assigned lane before their event and heat is called.  Coaches are responsible for ensuring their swimmers are in the correct heat and lane. 

 

TIME STANDARDS:  Distance events swum on Friday evening will require that swimmers enter with verifiable “A” Time Standards for their respective age groups.  If space is available, swimmers with unverified times or times that are less than “A” time standards will be allowed as the time-line permits and on a first-come first-serve basis based on team entry date.  If we receive more than enough entries with verifiable “A” time standards, we reserve the right to cut the Friday evening session by time in order to adhere to the session length as agreed upon with Boston University.

 

SESSIONS:  Due to requirements of the Aquatic Center to serve their membership, sessions may be timed to be less than the usual USA Swimming standard of four hours.  Friday night will be timed to be four hours, but the remaining sessions will be timed to be roughly three hours each.  Swimmer access to the Center will not be permitted prior to 7:45 AM each morning, and swimmers arriving early for the afternoon and evening sessions will not be allowed access to the deck until 15 minutes before warm ups begin.

ELIGIBILITY:  All contestants must be 2008 USA Swimming registered athletes and must be registered before the entry is submitted.  In accordance with NE Swimming rules, teams that enter unregistered swimmers will be subject to a fine of $100 per unregistered swimmer.  New England teams are encouraged to check their entries with the on-line registration check tool on the New England Swimming website.  Please contact the New England Swimming Office for registration information.  Disabled swimmer forms are available from the New England Swimming Office.  New England Swimming Office: 20 Cleveland Road, Needham MA 02492, 781-449-0270, office@neswim.com.  Age eligibility is determined by the age of the swimmer on the first day of the meet and must be shown on the entry form.  All coaches on deck must be registered with US Swimming and present their coach membership cards.

 

ENTRY INFORMATION:  From an entry standpoint, a perfectly balance meet with sessions of the anticipated three and four hour lengths will allow approximately 5,300 splashes.  Therefore, the 75% rule as defined by New England Swimming, means that 4,000 entries may be reserved for invited teams.  Entries from invited teams will be accepted on a first come first serve basis up to this limit of 4,000 splashes, and must be received no later than November 20, 2007.  Email electronic entries in CL2 or SD3/SDIF format (such as from Hy-Tek Team Manager or other team management software) to the entry chairperson at remecon@comcast.net.  Full payment and a printed copy of the entry, including the swimmer facilities fee, must be received by November 27, 2007.  If payment is not received by November 27, 2007, then the invited team will be scratched from the meet and required to resubmit their entry and make payment following the same procedure required of any other team attempting to enter the meet thereafter. 

 

All other teams wishing to enter may submit their entries beginning on November 27, 2007 by emailing electronic entries in CL2 or SD3/SDIF format (such as from Hy-Tek Team Manager or other team management software) to the entry chairperson at remecon@comcast.net.  Payment and hardcopy of the entry must be received within four (4) days, excluding Sundays and holidays, of receipt of the email entry.  If payment is received within four (4) days, excluding Sundays and holidays, of the email entry, the email receipt date will be considered the date of entry.  If payment is received more than four (4) days, excluding Sundays and holidays, after the email entry, the payment receipt date will be considered the date of entry.  Make checks payable to Greenwood Memorial Swim Club, Inc. and mail hardcopy of the entry (including signed entry cover page and waiver) and payment to the entry chairperson:  Rosemarie Meissner, P.O. All entries must be complete and accurate and must use full names and registration numbers from USA Swimming registration.  All entries must include a completed and signed entry cover sheet and waiver.  No refunds for entries that are accepted or for entries that are rejected due to improper entry (i.e., meet fees will not be returned or credited to new entries for scratches or errors or unverifiable times).  Deck entries will only be accepted if the meet is not designated as full on or before January 8, 2008 and then only if permitted by the meet director and/or meet referee.  Please include the email address of your team’s contact(s) so all future meet correspondences can be sent to this email address.

 

ENTRY LIMITS:  As per USA Swimming rules, 11 & Over Athletes swimming trials and finals events may enter and swim in a maximum of 3 events per day while 10 and Under athletes swimming in timed-final events are limited to five events per day.  If necessary to keep the Friday night session within an acceptable timeline, all swimmers may be limited to only one event on Friday night.  This limitation, if applied will be decided on by December 1, 2007 based on entries received by that date on will only take affect if the Friday night session is over subscribed and other ways of cutting the meet to achieve session time limits are unsuccessful.

 

ENTRY FEES:  Electronic entries: $5.00 for individual 11 & Over events and $5.00 for all distance events (400 yards or longer).  $4.00 for individual 10 & Under events of less than or equal to 200 yards.  Non-electronic entries must add $0.50 per entry (i.e., $4.50 for 10 & Under individual events of less than or equal to 200 yards; $5.50 for individual events all other entries).  In addition, there is a $10.00 per swimmer participation fee towards covering cost associated with the finer facilities.  Time trials if permitted by the meet referee and meet director will be charged at $5.00 per event.

 

ENTRY TIMES: All entries should be specified in short-course yard (25-yard pool) times.  For the 500 Free and 400 IM events on Friday evening, only swimmers who have met ‘A’ motivational time standards per US Swimming (9/13/04) will be accepted for entry.  Entries with “NO TIME” will be rejected; times that do not meet ‘A’ motivational time standards will be wait listed.

 

ENTRY TIME UPATES:  Entry times may be updated through 6 pm on January 8, 2008.  No new updates will be accepted after that date.  Entry time updates should be sent via email to the entry chairperson and must be sent as Hy-Tek format CL2 files with updated times.

 

METHOD FOR CLOSING THE MEET: Greenwood Memorial Swim Club will limit the number of swims in the meet to adhere to session time lines. GMSC will reserve 75% for its own team and any other teams (New England and/or out of district) that it may choose to invite to the meet.  In order to make sure that the meet is neither oversubscribed nor undersubscribed, all invited teams included in the 75% invitation must submit their entry by November 20, 2007 and their check by November 27, 2007.  At least 25% of the swims will be open to other teams to submit entries on November 27, 2007.  Entries will then be accepted up until the meet is determined to be full.  If on the final day of acceptance before the meet is deemed to be full multiple teams should enter, every effort will be made to work with those teams to reduce entries and accept and accommodate qualifying swimmers.  If necessary, there will be a lottery of those teams in accordance with the usual practices of New England Swimming.  Teams that are cut from the meet will have their entry fee returned within four days of being cut.

 

TIME TRIALS: Time trials may be offered at the discretion of the meet referee if the timeline allows.  Such deck and time trials entries will be charged $5.00 for individual events.

 

WARMUPS: The pool will open for warm-ups beginning at 5:00 PM on Friday evening and 8:00 AM both Saturday and Sunday mornings.  Teams will not be assigned warm up lanes (i.e., open warm ups) as approximately sixteen lanes will be available from 8:00 AM to 8:50 AM each morning.  The competition pool will be cleared 10 minutes before the start of competition (i.e., 8:50 AM); however, lanes in the diving end of the pool will be available for continuous warm up throughout the competition.  Warm-ups for the timed-final 10&Under Sessions on Saturday and Sunday afternoon will begin at 1:00 PM.  Warm-ups for Saturday and Sunday 11&Over finals sessions will begin at 5:00 PM.

 

AWARDS:  Ribbons will be awarded to individuals for eight places (1st through 8th) in each individual event by age group. 

 

SCORING:  This meet will not be scored for team and individual high point.

 

OFFICIALS AND TIMERS:  Volunteer officials and timers from each team are encouraged and appreciated.  GMSC is a relatively small team and the size of this pool (10 lanes) and expansiveness of this facility requires a lot of staffing if we are to run a successful meet.  We need your help.  Please include with your entry a list of your team’s eligible officials expected to be available, their phone numbers, and the session(s) they will work.

 

PROGRAMS: $1.00 for the Friday Evening Session; $4.00 for both 10 & Under Sessions; and $4.00 for both 11 & Over Sessions.  11 & Over Final heat sheets will be $2.00.

 

ADMISSION: $1.00 per session for non-swimmers 18 years of age and over.  Those who volunteer to time or officiate will not be charged admission.

 

SAFETY, BEHAVIOR, IMPORTANT RULES & SPECIAL INSTRUCTIONS: 

  1. Only swimmers, coaches, authorized meet and Boston University personnel will be allowed on deck.  Proper credentials are required.
  2. Diving is prohibited during warm-ups with the exception of one-way sprint lanes when announced.
  3. All swimmers must enter the competition pool at the starting end.
  4. No shaving is permitted at the competition site.  Swimmers must wear approved swim wear and, due to facilities regulations, will not be allowed to wear jewelry or other accessories unless under their swim cap such as necklaces, toe and finger rings.
  5. Glass containers are prohibited in the facility, especially on the pool and restroom areas.
  6. Swimmers must be under the supervision of a coach.  If a swimmer arrives at the meet without a coach, the swimmer should notify the referee before he/she warms up.  The referee will assign the swimmer to a registered coach for warm-ups.
  7. No camera cell phones are permitted in the locker rooms.
  8. No flash photography at the start of any race.
  9. Absolutely no swimming under the bulkhead at any time.
  10. Absolutely no meet participant is allowed on the diving boards at the diving end of the pool or in the Recreation Pool and Spa at any time.  Use of the diving boards is strictly prohibited.
  11. Absolutely no meet participant, swimmer, coach or observer is allowed in other parts of the fitness facility unless accompanied and/or approved by authorized University personnel.

 

Failure to abide by these rules and any other rules that may be announced or posted by meet officials during the meet may result in ejection from the facility.  Meet officials will watch for swimmers or meet spectators who violate facility regulations.  Horseplay will not be tolerated.  Parents must supervise younger children in attendance at the meet.  Meet officials have the authority to dismiss swimmers and spectators from the grounds.  Coaches are responsible for communicating this to both swimmers and parents.  No pets of any kind are permitted within the complex.  Boston University, Greenwood Memorial Swim Club, and New England Swimming are not responsible for lost or stolen items. 

 

DECK ACCESS:  Only athletes, coaches, officials, and official meet staff are permitted on the pool deck.  Deck badges will be distributed to all non-athletes on the pool deck with validated USA Swimming registration cards and to volunteer timers and must be displayed at all times.  Individuals without a deck badge and/or proper credentials will be removed from the pool deck, and will be subject to a fine by New England Swimming.

 

RULES: 2008 USA Swimming rules will govern all competition.  Decisions by the meet referee will be final unless a written protest is lodged within 30 minutes of the heat swum.

 

FOOD & EQUIPMENT VENDOR:  A concession stand will be in operation for the duration of the meet, and possibly, a swimming equipment vendor will be selling suits, goggles, and other accessories at times during the meet if arrangements can be made.

 

PHOTOGRAPHER:  As per USA Swimming and New England Swimming policy, the only photographers allowed on the pool deck at any time during the meet (including during warm ups) must be professional photographers contracted by GMSC or press photographers who have been approved in advance by the Meet Director and have been properly credentialed.  Email the Meet Director with questions and requests.

 

PARKING:  Parking will be available in the Agganis Arena garage that is adjacent to the Fitness and Recreation center.  As Boston University is an urban campus with many competing events, parking is limited.  Metered on-street parking is discouraged as there are few of these spaces and they are frequently monitored and ticketed.  Click here for Aquatic Center Parking Map that gives directions and illustrates how to access the Agganis Arena garage.  The rate for each day is $1.00 per hour with a maximum of $8.00 for the day; however, if there are conflicting events on Friday, Saturday or Sunday evenings at the Agganis Arena all cars must be leave the garage by 5:00 PM or they will be required to pay the $25.00 event parking rate.  At this time, no events are planned for that weekend, but Boston University reserves the right to modify its parking terms and will make every effort to provide sufficient notification.

 

If your team will be traveling by chartered bus, due to City of Boston regulations, buses are not permitted to double park or idle on City streets.  Bus parking is $40 per day and, due to limited space availability, must be pre-approved.  You must inform the Entry Chairman and Meet Manager of your team’s need for bus parking prior to arrival in order for us to inform you of the oversized vehicle requirements in and around the Boston University campus.
