FACILITY:  Boston University’s newly constructed Fitness and Recreation Center includes a 10-lane by 16-lane competition pool with the ability to change from meters to yards using a movable bulkhead.  The depth slopes from 7 feet to 13.5 feet.  The course will be set in short course (25) yards, thus allowing 10 lanes with non-turbulent lane lines for competition and an additional six lanes for continuous warm up in the diving end of the pool.  At selected times during the meet, up to three warm up lanes may be reserved for Boston University member use only, however, at all times there will be at least three lanes available for continuous warm up.  The facility is equipped with a Daktronics Timing System, touch pads and a ten lane electronic scoreboard.  Spectator seating is available for approximately 400 spectators.  Directions to the Aquatics Center and parking instructions may be found later in this notice.

 

MEET FORMAT:  Age group meet swum in Short Course Yards for 11 & Over swimmers to be conducted as Trials and Finals (championship and consolation heats) for swimmers with ‘AA’ times in 11-12, 13-14, and 15 & Over Age Groups.  Bonus events will be allowed up to an acceptable timeline for the session (defined below).  A separate timed-final afternoon session is offered on Saturday and Sunday afternoons to non-qualifiers in the 11-12 and 13-14 age groups and (time permitting) time trials for 15 & over swimmers.  Combined ten lane heats will be swum in the trial sessions with the top 16 in each age group advancing to swim in two 8-lane final heats (i.e., trial sessions will be swum as 11 & over events, but the final heats in the respective age groups).  Special open relay events will be swum as the last event in Finals with teams using any of their swimmers entered in the meet.  Morning and afternoon sessions will be seeded after the positive check-in deadline before the start of the competition.  Coaches and swimmers must check-in with the Clerk of the Course no later than one hour before the session is scheduled to start (i.e., by 8:00 AM on Friday morning, 7:00 AM on Sat/Sun morning, and 12:00 PM for afternoon sessions).  Heat and lane assignments will be posted and handed out to officials and coaches prior to the start of competition.  Swimmers are to report directly to their assigned lane before their event and heat is called.  At the discretion of the Meet Referee, there may be a short break between trial heats and the beginning of the relays.

 

SESSIONS:  Swimmer access to the Aquatics Center will not be permitted prior to 6:45 AM each morning.  The session warm up and start times are as follows:

ELIGIBILITY:  All contestants must be 2005 or 2006 USA Swimming registered athletes and must be registered before the entry is submitted.  In accordance with NE Swimming rules, teams that enter unregistered swimmers will be subject to a fine of $100 per unregistered swimmer.  New England teams are encouraged to check their entries with the on-line registration check tool on the New England Swimming website.  Please contact the New England Swimming Office for registration information.  Disabled swimmer forms are available from the New England Swimming Office.  New England Swimming Office: 20 Cleveland Road, Needham MA 02492, 781-449-0270, office@neswim.com.  Age eligibility is determined by the age of the swimmer on the first day of the meet and must be shown on the entry form.  All coaches on deck must be registered with US Swimming and present their coach membership cards.

 

ENTRY INFORMATION:  Entries will be accepted on and after October 4, 2005. Entries received before October 4, 2005 will be considered received on October 4, 2005. Electronic Entries (such as from Hy-Tek Team Manager or other team management software) that are in CL2 or SD3/SDIF must be received via email no later than November 1, 2005.  Entry times that meet the ‘AA’ time standards as established by US Swimming must be verifiable against the USA Swimming’s SWIMS database.  For email entries, payment and hardcopy of the entry (including signed entry cover page and waiver) must be received within four (4) days, excluding Sundays and holidays, of receipt of the email entry.  If
payment is received within four (4) days, excluding Sundays and holidays, of the email entry, the email receipt date will be considered the date of entry.  If payment is received more than four (4) days, excluding Sundays and holidays, after the email entry, the payment receipt date will be considered the date of entry. Make checks payable to Greenwood Memorial Swim Club, Inc. and mail hardcopy of the entry (including signed entry cover page and waiver) and payment to the entry chairperson: Rosemarie Meissner, P.O. Box 886, Ashburnham, MA 01430.  All entries must be complete and accurate and must use full names and registration numbers from USA Swimming registration.  All entries must include a completed and signed entry cover sheet and waiver.  No refunds for entries that are accepted or for entries that are rejected due to improper entry (i.e., meet fees will not be returned or credited to new entries for scratches or errors or unverifiable times).  Deck entries will only be accepted if the meet is not designated as full on or before November 1, 2005 and then only if permitted by the meet director and/or meet referee.  Please include the email address of your team’s contact(s) so all future meet correspondences can be sent to this email address.

 

ENTRY LIMITS:  Athletes may enter and swim in a maximum of 3 events per day, not including relays, if swimming in the trials and finals session.  If any 1 event is entered in a qualifying event – prelims session -- than that swimmer is limited to a maximum of 3 individual events for the day.   Athletes may enter and swim in a maximum of 5 events per day not including relays if swimming only in the timed-final afternoon events.    

 

BONUS EVENTS: All trials & finals swimmers will be allowed bonus events in the trials and finals sessions- two bonus events allowed for each one event in which the swimmer has a verifiable AA qualifying time.  Please circle in red ink the bonus events for each swimmer on the hard copy of your meet entry submission. In the event of oversubscription, we reserve the right to reduce the number of allowable bonus events to one bonus event for each one event in which the swimmer as a verifiable AA qualifying time.

 

ENTRY FEES:  Electronic entries: $5.00 per event for trials and final events (morning sessions); $3.50 for individual events timed-final sessions (afternoon sessions), and $10.00 for relays.  Non-electronic entries must add $0.50 per entry (i.e., $5.50 for trials and finals events; $4.00 for timed-final events; and $10.50 for relays).  As per approval of New England Swimming, a $10.00 per swimmer participation fee is required and applied towards covering the high cost of renting this new facility.  Time trials and deck entries for all events if permitted by the meet referee and meet director will be charged at $5.00 per event.

 

ENTRY TIMES: For trials and finals events, all entries should be specified in short-course yard (25-yard pool) times and must be verifiable qualifying times as per the ‘AA’ motivational time standards per US Swimming (9/13/04) set for LCM or SCY (no SCM).  Entry times must be verifiable by US Swimming’s SWIMS database.  Qualifying meter times will be converted to yard times.  Entry times for timed-final sessions must be in short course yards.  Entries with “NO TIME” will be rejected.

 

ENTRY TIME UPATES:  Entry times may be updated through 6 pm on November 4, 2005.  No new updates will be accepted after that date.  Entry time updates should be sent via email to the entry chairperson and must be sent as Hy-Tek format CL2 files with updated times.

 

METHOD FOR CLOSING THE MEET: As per the revised New England Swimming, Inc. rules approved by the Board of NE Swimming on September 6, 2005, up to 75 percent of the meet is reserved for teams invited by GMSC both within and outside of the New England LSC.  Any team or individual who has not been formally invited may inquire about the possibility of being added to the invitation list by contacting the entry chairman, Rosemarie Meissner at remecon@comcast.net.  Remaining space (e.g., available space within the reserved 75 percent and the other 25 percent), is open to any USA Swimming registered club with registered USA swimmers with preference given to teams in the New England LSC.  Entry cuts, if necessary, will be made by the date of receipt, however, if on the first day of acceptance, October 4, 2005 or any day after that date that the meet becomes oversubscribed, the teams whose entries are received on the date of oversubscription will have their entrance into the meet determined in a lottery run by the New England Swimming Office in accordance with New England Swimming guidelines.  Teams that are cut from the meet will have their entry fee returned within four days of being cut.

 

RELAYS: Open relay events will be swum as the last event of the evening Finals session with each team allowed to enter up to two (2) relay teams using any of their swimmers entered in the meet.  Additional relay teams may be allowed at the discretion of Meet Referee and Meet Director if the timeline permits. 

 

TIME TRIALS: Time trials may be offered during the Saturday and Sunday afternoon sessions; but at the discretion of the meet referee if the timeline allows, deck entries will be allowed into the time-final events provided, of course, the swimmer has not exceeded the maximum number of allowable events per day.  Such deck and time trials entries will be charged $5.00 for individual events.

 

WARMUPS: The pool will open for warm-ups beginning at 8:00 AM on Friday and at 7:00 AM on Saturday and Sunday, and then at approximately 12:00 PM for the afternoon session on Saturday and Sunday and at 5:00 PM for evening finals sessions.  Lanes will not be assigned to teams during warm up sessions; however, sprint lanes will be designed by the referee from 7:40-7:50am in the morning sessions; 1:10-1:20pm for the afternoon sessions; and 5:40-5:50pm for the finals session.  The competition pool will be cleared 10 minutes before the start of competition.

 

AWARDS FOR TRIALS AND FINALS EVENTS ONLY:  Ribbons will be awarded to individuals for eight places (1st through 8th) in ‘AA’ qualifying events only.  Medals will be given to top three relay winners.  No awards will be given in the afternoon timed-final sessions.

 

SCORING:  This meet will not be scored for team or individuals.

 

OFFICIALS AND TIMERS:  Volunteer officials and timers from each team are encouraged and appreciated.  The meet will be permitted to proceed only if a sufficient number of officials and timers are present as determined by the Meet Referee.  Please include with your entry a list of your team’s eligible officials expected to be available, their phone numbers, and the session(s) they will work.

 

PROGRAMS: $8.00 for entire meet (5 sessions); $2.00 for final session heat sheets.

 

ADMISSION: $1.00 per session for non-swimmers 18 years of age and over.  Those who volunteer to time or officiate will not be charged admission.

 

SAFETY, BEHAVIOR, IMPORTANT RULES & SPECIAL INSTRUCTIONS: 

  1. Diving is prohibited during warm-ups with the exception of one-way sprint lanes when announced.
  2. All swimmers must enter the competition pool at the starting end.
  3. No shaving is permitted at the competition site.
  4. Glass containers are prohibited in the facility, especially on the pool and restroom areas.
  5. Swimmers must be under the supervision of a coach.  If a swimmer arrives at the meet without a coach, the swimmer should notify the referee before he/she warms up.  The referee will assign the swimmer to a registered coach for warm-ups.
  6. No camera cell phones are permitted in the locker rooms.
  7. No flash photography at the start of any race.
  8. Absolutely no swimming under the bulkhead at any time.
  9. Absolutely no meet participant is allowed in the Recreation Pool and Spa at any time.

 

Failure to abide by these rules and any other rules that may be announced or posted by meet officials during the meet may result in ejection from the facility.  Meet officials will watch for swimmers or meet spectators who violate facility regulations.  Horseplay will not be tolerated.  Parents must supervise younger children in attendance at the meet.  Meet officials have the authority to dismiss swimmers and spectators from the grounds.  Coaches are responsible for communicating this to both swimmers and parents.  No pets of any kind are permitted within the complex.  Boston University, Greenwood Memorial Swim Club, and New England Swimming are not responsible for lost or stolen items. 

 

DECK ACCESS:  Only athletes, coaches, officials, and official meet staff are permitted on the pool deck.  Deck badges will be distributed to all non-athletes on the pool deck with validated USA Swimming registration cards and to volunteer timers and must be displayed at all times.  Individuals without a deck badge and/or proper credentials will be removed from the pool deck, and will be subject to a fine by New England Swimming.

 

RULES: 2005 USA Swimming rules will govern all competition.  Decisions by the meet referee will be final unless a written protest is lodged within 30 minutes of the heat swum.

 

FOOD & EQUIPMENT VENDOR:  A concession stand will be in operation for the duration of the meet, and possibly, a swimming equipment vendor will be selling suits, goggles, and other accessories at times during the meet if arrangements can be made.

 

PHOTOGRAPHER:  As per USA Swimming and New England Swimming policy, the only photographers allowed on the pool deck at any time during the meet (including during warm ups) must be professional photographers contracted by GMSC or press photographers who have been approved in advance by the Meet Director and have been properly credentialed.  Email the Meet Director, Walt Meissner, at wcm@bu.edu with questions and requests.

 

PARKING:  As Boston University is an urban campus with many competing events, parking is limited.  Metered on-street parking is discouraged as there are few of these spaces and they are frequently monitored and ticketed.  On Friday and Saturday, Boston University has reserved the large parking lot at 808 Commonwealth Avenue (Lot F) specifically for those attending this meet.  This parking lot is a long block, but a reasonable walk to the pool.  Click here for Aquatic Center Parking Map.  As there are conflicting events on Friday and Saturday at the Agganis Arena (the building adjacent to the Fit/Rec Center and the Pool), you will not be allowed to park in the lot and garage behind and under the Agganis Arena on these days.  On Sunday, parking will be available in the Agganis Arena garage.  The rate for each day will be $10.00.  You will be allowed to leave and re-enter these lots as long as you save your parking stub and make sure the attendant validates the parking stub for return entry prior to your leaving the lot the first time. 

 

If your team will be traveling by chartered bus, due to City of Boston regulations, buses are not permitted to double park or idle on City streets.  Bus parking is $30 per day and, due to limited space availability, must be pre-approved.  Bus parking will be provided along the entrance of the 808 ‘Lot F’.  You must inform the Entry Chairman and Meet Manager of your team’s need for bus parking prior to arrival in order for us to inform you of the oversized vehicle requirements in and around the Boston University campus.

  1. Take the Massachusetts Turnpike (I-90) East. Take Exit 18 on the left (Brighton/Cambridge).
  2. Follow Signs to Cambridge. At the second set of lights, turn right.
