MEET FORMAT:  The meet will be swum as timed-finals.  Each session will be computer seeded during warm-ups based on positive check-in by coaches for each session.  Coaches should check in with the meet directors and pick up coaches packets upon arrival.  Coaches must return check-in reports no later than 30 minutes after the start of warm-ups.  Free Relays must be declared by the end of the IM events of each session.  Heat sheets will be posted on deck and observation levels and provided to coaches in the coaches’ files after all coaches submit scratches.  Coaches are responsible for ensuring their swimmers report directly to the blocks and are in the correct heat and lane to facilitate a smooth running meet.   

 

FACILITY:  The Natatorium pool provides 10 competition lanes, 25 yards each with non-turbulent lane lines and 6+ feet depth at both finish and turn ends of the pool.  Fully automatic Colorado Time Systems electronic timing with touchpads at the finish end of the pool and 10 lane electronic display.  25-yard events will be swum in six lane heats off the blocks into touchpads at the far end of the pool.  The attached diving well, approximately 6 x 25 yards in size, is available for individual warm-up and warm-down. Outdoor shoes are not permitted on the pool deck.  Spectator seating is available for approximately 1200.  Natatorium is located in the Middlebury College Athletic Complex, Middlebury College, Route 30, Middlebury, VT  05753.  Directions may be found later in this document.

 

Glass is not permitted on the pool deck, in the bleachers or locker rooms. Smoking and pets of any kind are not permitted anywhere in the building.  No food or beverages, other than water, are permitted in the bleachers, on deck, or in the locker rooms.  Any food or beverages being consumed in these areas will be removed. 
 

Your cooperation in respecting the use of the Middlebury College Natatorium and facilities is required and appreciated.  Middlebury College, Middlebury Area Swimming Association, Inc. and the Middlebury Marlins Swim Team assume no responsibility for lost or stolen property.  Swimmers and spectators must remain in the pool venue and its locker rooms, spectator and concession areas.  All other areas, including the hockey arena, basketball venue and training areas, are strictly off limits to visitors.  This includes swimmers, coaches, officials, timers and spectators.  Teams are advised to share this information with their swimmers and families.  Anyone not abiding by the requests of Middlebury College as enforced by the Meet Directors and Security personnel will be asked to leave.

ELIGIBILITY:  All contestants must be 2004 USA Swimming registered athletes. New England Swimmers may register with Mary Riddell at the New England Swimming Office, 20 Cleveland Rd., Needham, MA 02492, 781-449-0270, office@neswim.com.  Age eligibility is determined by the age of the swimmer the day of the meet and must be shown on the entry form.  Disabled swimmer forms are required by USA Swimming and are available from the New England Swimming office.  All coaches on deck must be registered with USS and present their coach membership cards.

 

ENTRIES:  Entries will be accepted on and after December 26, 2003.  Entries received before December 26, 2003 will be considered received on December 26, 2003 based on payment guidelines below.  Entries must be received no later than 6:00 p.m. on Monday, January 12, 2004.  Non-New England teams must submit with entries a signed roster confirming 2004 USA Swimming registered athletes.  Make team check payable to “MASA”, no individual checks.  Mail completed forms (including signed entry cover page and waiver) and payment to the entry chairperson:  Suzanne Snider, c/o Middlebury Area Swimming Association, P.O. Box 325, Middlebury, VT  05753.  All entries must be submitted on the standard New England Swimming entry forms, or typed or printed legibly including event numbers, and must use full names and registration numbers from USA Swimming registration.  All entries must include a completed and signed entry cover sheet and waiver.  No deck entries will be accepted.  No refunds will be given for entries that are accepted, or for entries that are rejected due to improper entry.

 

ELECTRONIC ENTRIES:  Electronic entries, by email or diskette, are appreciated and are less expensive.  Zipped files are preferred.  Electronic entries (such as from Hy-Tek Team Manager or other team management software) that are in CL2 or SD3/SDIF format may be emailed as an attachment to the entry chairperson at MASA@surfglobal.net.  Please check that your team name, address, and contact information are listed correctly in this file, as this information will be used as your team contact for meet updates.  For email entries, payment and hardcopy of the entry (including signed entry cover page and waiver) must be received within four (4) days, excluding Sundays and holidays, of receipt of the email entry.  If payment and hardcopy with completed forms are received within four (4) days, excluding Sundays and holidays, of the email entry, the email receipt date will be considered the date of entry.  If payment and hardcopy with completed forms are received more than four (4) days, excluding Sundays and holidays, after the email entry, the payment and receipt date will be considered the date of entry.

ENTRIES WITHOUT PAYMENT will not be accepted.  NO PHONE or FAX ENTRIES. 

 

ENTRY LIMITS:  Athletes may enter and swim in a maximum of five individual events per session.

 

RELAYS:  Relays will be limited to 2 relays per team per event.  All relay swimmers must be officially entered in the meet.

 

ENTRY TIMES:  All entries must be specified in short-course yard (25-yard pool) times.  Meter times must be converted to yard times.

 

ENTRY FEES: Electronic entries: $3.50 for individual events, $10.00 for relays.  Non-electronic entries: $4.00 for individual events, $10.50 for relays.

 

ENTRY CUTS:  Entry cuts, if necessary, will be made by the date of receipt.  Teams will be notified that they have been accepted or cut within seven days of receipt of entry.  If the meet becomes oversubscribed, a random selection of those entries received on the date the meet becomes oversubscribed will be conducted in accordance with New England Swimming guidelines.  Teams that are cut from the meet will have their entry fee returned within four days of being cut.

 

ENTRY TIME UPATES: Entry times may be updated until 7 days prior to the meet.  Entry time updates should be sent via email to the entry chairperson at MASA@surfglobal.net.  Entry time updates must be sent as Hy-Tek format CL2 files with updated times.  (New entries will be automatically excluded if the meet is oversubscribed.)

 

25-YARD EVENTS:  25 yard events will be swum off the blocks in six lane heats into touchpads at the far end of the pool.  In the event that it is not possible to double end the pool for this meet, swimmers in the 25 yard events will dive in from the wall at the turn end of the pool and swim into the touchpads to take advantage of the electronic timing.

 

OFFICIALS:  Volunteer officials are needed to facilitate a smoothly run meet.  All teams should submit with their entries the names of registered officials, their phone numbers, and sessions available to work.  Officials must display current USS Official registration on deck.

 

PROGRAMS:  Psych Programs for the entire meet will be available for $3.

 

ADMISSION:  $1.00 per session.

 

WARMUPS:  All team and individual warm-up and warm-down shall be under the direct supervision of the respective swimmers' coach(es), or individual designated by the referee.  Any swimmer participating in the meet without a USA Swimming registered coach shall report to the referee before warm-ups prior to each session.  The pool will be open for warm-ups as stated on attached session list.  Teams will be assigned warm-up lanes and times after all entries are received.  The diving well area will be available during the meet for warm-up and warm-down.   

DIVING WILL BE PROHIBITED DURING WARM-UPS EXCEPT IN SPECIFICALLY ANNOUNCED ONE-WAY SPRINT LANES.  THERE WILL BE NO DIVING IN THE WARM-UP AND WARM-DOWN AREAS AT ANY TIME. 

 

SHAVING:  There will be no shaving allowed anywhere at the competition site, including the locker rooms, bathrooms, shower areas, and bleacher areas.

 

RULES:  2004 USA Swimming rules will govern all competition.  Decisions by the meet referee will be final unless a written protest is lodged within 30 minutes of the heat swum. 

 

TIME TRIALS:  Time trials will be offered at the discretion of the meet referee if time allows.  Time Trials are $5.00 for individual events and $10.00 for relays.

 

DECK ACCESS: Only athletes, coaches, meet directors, referees, starters, marshals, stroke and turn judges, and meet staff serving in an official capacity are permitted on the pool deck.  All non-athletes on the pool deck, except timers, must display their USA Swimming registration card at all times.  All persons acting in any coaching capacity must be coach members of USA Swimming.  Individuals without their USA Swimming registration card will be asked by the referee to leave the pool deck, and will be subject to a $100 fine and teams subject to a $200 fine by New England Swimming. 

 

TIMERS:  All teams are requested to assist in providing timers.

 

SCORING:  The meet will not be scored.

 

AWARDS:  Individual events:  Medals 1st through 3rd place, ribbons 4th through 6th.  Relay events:  Medals 1st place, ribbons 2nd and 3rd place.

FOOD:  A food concession will be provided.  All food and beverages, except water, are to be consumed in the lobby area.

 

DIRECTIONS and PARKING:  Route 7 to Middlebury.  Take Route 30 S from the town green for approximately ˝ mile.  Pass the Middlebury College Center for the Arts on the left, then take the 2nd driveway on the left into the parking lot marked the Athletic Complex.  Free Parking is available adjacent to the Athletic Complex, and also just north off route 30 behind the Center for the Arts.  Enter the main lobby through the taller glass entry of the complex and proceed straight ahead to the pool venue. 

 

COACHES NOTES:  Coaches and parents are responsible for their swimmers at all times.  Any damage to the premises or equipment is the responsibility of those doing the damage.  Coaches are responsible for reviewing guidelines written under “Facility”.  Barriers and /or signs will be posted for restricted areas and apply to swimmers, coaches, officials, timers and spectators.  If your swimmer or team affiliates are found in unauthorized areas there will be no further warnings.  Anyone refusing to abide by the requests of Middlebury College as enforced by the Meet Directors and Security Personnel will be asked to leave the meet.  Coaches are advised to share this information with their swimmers and families.
