FORMAT

All events are swum as timed-finals and will be deck seeded after the scratch deadline.  The scratch deadline will be 45 minutes before the start of each session.  Open age groups will swim in the morning sessions while 12&under age groups will swim in the afternoon session.  All age groups will swim in combined heats separated only by gender, but awards will be given to 10 & under, 11-12, 13-14, and 15 & over age groups.  Heat and lane assignments will be posted and handed out to coaches prior to starting each session.  There will be no bullpen.  All swimmers are to report directly to their lane when their event is called.  Swimmers and coaches are responsible for ensuring their swimmers are in the correct heat and lane.

ELIGIBILITY

All swimmers must be 2003 USA Swimming registered swimmers with New England Swimming.  Please include USS number on the entry form.  Swimmers may register with Mary Riddell, 20 Cleveland Rd., Needham, MA 02492.  Age eligibility is determined by the age of the swimmer on May 24, 2003 and must be correct in the entry file, or if a hand entry, shown on the entry form.  All coaches on deck must be registered with US Swimming and present their coach membership cards.

ENTRY INFORMATION

Swimmer may enter no more than 5 individual events per day.  Entries must be submitted to Mary Kass and will not be accepted any earlier than Wednesday,April 30, 2003 or later than Friday, May 16, 2003.  All entries arriving on or before April 30 will be counted as arriving on April 30.  All entry times must be submitted in yards.  The meet will be seeded in yard times.  NT or “no time” entries are not allowed and will be scratched immediately upon receipt of the entry.  If a swimmer does not have an official “yard” time for a particular event, a coach’s guess time must be used instead.  This meet swims age groups in “combined” heats so please use extra care to enter swimmers with times that closely represents what they should swim in yards.

Electronic Entries (no diskettes):  A standard SD3 or CL2 data file of your team’s entries must be emailed as an attachment (we no longer accept data files via a diskette).  Please email your entry to mk2800@attbi.com, and your check and a signed copy of the meet entry file must be received by ABF within 4 days (excluding Sundays and holidays) of the submission of your email entry.  Do not send a hard copy of your meet entry.  Instead, after receiving your email entry and importing it into the Hy-tek meet management program, an email with an attached HTML file of your meet entry will be sent back for confirmation.  Teams will then have 24 hours to review the entry as it was imported, confirm it for accuracy and/or make corrections.  If your payment is received prior to the meet filling up, an email confirmation of your team’s acceptance into the meet will be sent.  If there is any difficulty importing the file, your entry will be rejected and returned for resubmission of the entry.

Hand Entries:  We no longer want diskettes for electronic entries (please email), however, if you are unable to create an electronic entry you may mail a hard copy of your entry, either using the enclosed form or a computer print out containing the entry in a similar format, with your summary sheet and payment of entry fees.  There is an additional $0.50 per entry charged for processing hand entries.  Once entered by hand an email containing an HTML file of the entry will be created and sent for confirmation.

Whether sent using email or regular mail, all entry forms must be accurate, legible and complete.  United States Postal Service Overnight Mail for entry form, payment, and hand entries is the preferred mailing method.  If Overnight Mail is used, indicate that the package be delivered even if no one is there to sign for it.  No fax, telephone, or deck entries will be accepted and all fees must accompany the entry.  Entries may not be changed after they are submitted, but can be updated.  Exceptions to this policy are at the discretion of the Entry Chairman, Meet Director or Meet Referee.  Meet fees will not be returned or credited to new entries for scratches or errors in the entry.  PLEASE NOTE: Your entry must include at least one email address of your team’s contact(s).  Entry confirmations and all future meet information will be sent to this email address.  Your team may have as many email addresses for information distribution as you wish.

The entry fee is $3.50 per individual event.  In accordance with the entry rules specified by New England Swimming, if an entry is not submitted in a computer file using a standard SD3 format, the entry fee is an additional $0.50 per individual entry (e.g. $4.00 per event).  Please mail the meet summary form and payment to:
