This online utility allows team managers and meet managers to
check their team and meet databases against the latest New England
Swimming athlete registration file. It is required that teams submit
electronic entries for meets using correct athlete registration
data, including USA Swimming ID numbers, date of birth, first name,
middle initial, and last name.
This interface will process most standard exports from Hy-Tek
Meet Manager and Team Manager, including HY3 files, CL2 files,
and ZIP files that contain HY3 and/or CL2 files. Full instructions
are listed below.

You should create the appropriate export file using Team Manager
or Meet Manager, and save it to your local computer. Make note
of where the file was saved. Above, click the "Browse..." button,
and navigate your local computer to find the exported file and
select it. Then click "Process File". The results of the registration
verification will be displayed on the next screen.
We recommend the following uses of this online tool:
- Team managers should regularly check their Hy-Tek Team Manager
databases to make sure athlete registration data is correct.
- Team managers should check electronic meet entry files to make
sure all athlete data is correct before entering each meet. Electronic
entry files that contain incorrect data may not be accepted.
Unregistered swimmers that are entered in meets may be subject
to a $100 fine.
- Meet managers should check electronic meet entry files to make
sure registration data is correct for all entered teams and swimmers.
- Meet managers should check their meet databases using this tool
before submitting results to the webmaster for posting and submission
to the online times database. Meet databases with incorrect or
missing registration data may be returned to the meet manager
for correction before they can be posted or added to the online
times database.
Why is this important? With approximately 5500 swimmers in New
England, keeping accurate records, top-10 lists, national top-16
submissions, national time verification data, and other results
tabulation depends on accurate swimmer registration data in every
meet and every set of meet results. Because so much tabulation
is done with computer software, it is critical that all parties
use correct athlete registration data for every part of the meet
entry process.
The data used for this online verification tool is taken directly
from data files used by New England Swimming to submit registration
data to USA Swimming. If you find data that is incorrect in our
files (such as a name is actually mis-spelt in our database), it
is important to correct the information with Carol Healey (office@neswim.com)
in the New England Swimming office.
Registration problems that may be generated by this interface:
- No registration found. The USA Swimming ID number for the swimmer
was not found in the registration database. Check to make sure
that the USA Swimming ID is correct from the registration report.
Many teams neglect to specify the correct middle initial in their
Team Manager databases. These must be corrected.
- First name should be.... The first name in your file is not
the official first name in the registration database.
- Initial should be.... The middle initial in your file is not
the official middle initial in the registration database.
- Last name should be.... The last name in your file is not the
official last name in the registration database.
- Date of birth should be.... The date of birth in your file
is not the same as the date of birth in the registration database.
- Gender should be.... The gender in your file is not the same
as the gender in the registration database.
- Team should be.... This swimmer is listed in the registration
database as being affiliated with a different team.
- Team not found in registration file. The entered team is not
an official team or has an incorrect abbreviation.
- LSC xx is not in our verification database. At this time, only
NE teams are in the database. Team data from other LSCs (such
as ME or CT) cannot be verified.
The date that the registration data was last updated is listed
at the end of the report. If you have any questions about registration
